AI Tools for Small Business: Picks by Job, Prices and a 30-Day Test
Start with one general AI assistant for your writing and analysis, such as ChatGPT Plus at $20 a month1. Then add a tool per job that takes your week: meeting notes, images, customer chat, social posts or connecting apps. Most of these tools have a free plan, and the solo owner's paid stack below comes to $49.99 a month. Keep a tool only if a 30-day test shows the hours it saves are worth more than its price.

The best AI tools for a small business, by job
One tool per job: each publishes its price and has a free plan or free alternative, and each sets up without code and does one job well. Prices are as of October 2026.
| Job | Pick | Price | Free start | Why this one |
|---|---|---|---|---|
| Writing, email, analysis | ChatGPT Plus | $20 a month1 | Perplexity free plan2 | Drafts, replies and questions about your files |
| AI in Microsoft 365 | Copilot Business | $18 per user a month, paid yearly3 | Copilot Chat, included with eligible plans3 | Works inside apps you already pay for |
| AI in Google Workspace | Business Standard | $14 per user a month, annual plan4 | AI is in the plan, no add-on4 | Gemini features with no second bill |

| Meeting notes | Fireflies.ai Pro | $10 a seat a month billed annually5 | Fathom free plan5 | Calls become searchable notes |
| Notes and docs | Notion Business | $20 per user a month billed annually6 | Plus plan, limited AI6 | Wiki, tasks and AI in one place |
| Design | Canva Pro | about $12.99–$18 a month in the US, per reviews7 | Canva Free7 | Magic Write and quick resizing7 |
| Social posts | Buffer | Free plan8 | 3 channels, 10 scheduled posts each8 | AI Assistant on the free plan8 |
| Automation | Zapier Professional | from $19.99 a month billed annually9 | 100 tasks a month9 | Connects apps with no code |
| Customer chat | The bot in your help desk or site builder | Your vendor’s plan | A trial | Answers from your own FAQ |
Customer chat has no priced pick: use the bot in the help desk or site builder you already run, and price it during the test. On Microsoft 365 or Google Workspace, try the suite’s assistant first.
What AI tools cost: three starter stacks
Checked prices, billed annually where a plan offers it.
| Job | Free stack | Solo owner | Team of five |
|---|---|---|---|
| Assistant | Perplexity free, $02 | ChatGPT Plus, $201 | ChatGPT Business, 5 × $20 = $1001 |
| Meeting notes | Fathom free, $05 | Fireflies.ai Pro, $105 | Fireflies.ai Pro, 5 × $10 = $505 |
| Social posts | Buffer free, $08 | Buffer free, $08 | Buffer free, $08 |
| Automation | Zapier free, $09 | Zapier Professional, $19.999 | Zapier Professional, $19.999 |
| Monthly total | $0 | $49.99 | $169.99 |
Billed monthly, ChatGPT Business is $25 per user1 and Fireflies.ai Pro $18 a seat5.
On Google Workspace, Business Standard at $14 per user on an annual plan4 replaces the assistant line: $70 for five, suite included. On Microsoft 365, Copilot Business adds $18 per user paid yearly3, or $90 for five. Design is left out because Canva’s checked page prices in pounds.
How to choose: one task, one tool, a 30-day test
Trial one tool for the task that takes the most hours of your week.
| The task that eats your week | Trial first | Monthly price to beat |
|---|---|---|
| Emails, posts, proposals | ChatGPT Plus | $201 |
| Calls and follow-ups | Fathom or Fireflies.ai Pro | Free, or $10 a seat annually5 |
| Copying data between apps | Zapier | Free up to 100 tasks9 |
The keep-or-drop rule
Value per month = hours saved per month × your hourly value. Keep the tool when that value beats its monthly price. Assume the tool saves 6 hours a month and your hour is worth $40 (both assumptions): that is $240 of time against ChatGPT Plus at $201, so you keep it.

The four weeks
- Week 1: do the task the old way and log the minutes as your baseline.
- Week 2: set the tool up on a free plan or trial, and give the assistant your business context once in its custom instructions.
- Week 3: use the tool every time the task comes up and log the minutes.
- Week 4: measure against the baseline and cancel before renewal if the tool fails the rule.
Two habits wreck a test: buying three tools at once hides which one saved the time, and unchecked AI output costs a correction email.
Data rule: put company data only into a business plan. ChatGPT’s business plans exclude workspace data from model training by default10. Keep customer personal data and passwords out of free personal accounts.
Writing, marketing and email
Use your general assistant, such as ChatGPT Plus at $20 a month1, and write your offer down first: a one-paragraph value proposition aligns every post and email.
For email marketing, let the assistant draft newsletters and subject lines, then send from your current email platform. Canva Pro’s Magic Write drafts copy on your designs7, and Buffer’s free plan adds an AI Assistant for social posts8. Some video editors cut a recording when you delete words from its transcript. Product names: the business name generator.
Meetings, notes and research
Fathom has a free plan for recording and summarizing meetings, and Fireflies.ai Pro costs $10 a seat a month billed annually or $18 billed monthly5. Some recorders also answer questions about past meetings. Before you send the action items, check each one’s owner and due date.
Full Notion AI comes with the Business plan at $20 per user per month billed annually or $24 monthly; Plus ($10 annually or $12 monthly) has limited AI; the separate AI add-on is no longer sold6.
Perplexity has a free plan, and Pro is $20 a month2. A prompt to try in your test: «What do customers complain about in reviews of [competitor]? List the sources.»
Images and video
Canva’s pricing page lists Canva Pro at £100 a year for one person, including Magic Write and quick design resizing; third-party reviews put the US price at about $12.99–$18 a month7.
For images in ads or on packaging, Adobe states that its Firefly image models are trained on licensed content such as Adobe Stock and on public-domain content, and are designed to be safe for commercial use11. Keep a copy of the terms with your files.
Customer support: chat, phone and assistants
Two routes: a chat bot on your site that answers from your own FAQ, and an AI phone receptionist for missed and after-hours calls.
Start the bot on your 10 most frequent questions (a starting size we assume), taken from your inbox and your list of customer pain points. Set one handoff rule: the bot hands money questions and complaints to a person, along with anything outside the FAQ.
For staff, Copilot Chat comes with eligible Microsoft 365 plans at no additional cost3. Ask a phone receptionist service for its price and run it through the 30-day test.
Social media
Pick the tool by the platforms you post on. Buffer’s free plan connects up to 3 channels, allows 10 scheduled posts per channel and includes its AI Assistant8. Run a competitor analysis first to see what rivals publish.
Automation and projects
Zapier’s free plan includes 100 tasks a month with two-step Zaps, and Professional starts at $19.99 a month billed annually9. Start with three trigger-to-action chains:
- a web form on your site to a spreadsheet row and a reply email;
- paid invoice to a thank-you email and a shipping task;
- new review to a message in your team chat.
In project tools, let the AI draft tasks from a meeting summary and the weekly status from the task list; a person sets the deadlines.

Can AI tools replace an employee?
AI tools take over tasks, and the job keeps a person for the exceptions. McKinsey’s 2023 report estimates that technologies available today could automate work activities that absorb 60 to 70 percent of employees’ time12; the figure measures time on activities and counts no jobs. The support bot shows the split: it answers routine questions, and a person handles refunds and complaints.
AI as your co-founder: check a business idea before you spend
The keep-or-drop rule weighs hours saved against price; our idea check runs that sum for a whole business. It runs search queries and reads sources, then returns a scored verdict with the top demand phrase, competitors’ share of search visibility, complaints by theme, a unit model and risks rated for probability and impact.
A worked example: AI workshops in Des Moines
Example by our method, from the system check of October 15, 2026: the idea was «Half-day hands-on AI tools workshops for small business owners held in chamber of commerce halls around Des Moines, Iowa: owners paying $199 per seat»ex. From 17 search queriesex and 22 sourcesex, the check returned «Worth building»ex with a score of 69ex.
The top demand phrase was «AI training for business»ex, from search trendsex. The check found 3 direct competitorsex, 4 complaints about qualityex and 1 about priceex.
| Competitor in the example | Type | Search visibility |
|---|---|---|
| Grow with Google | indirect | 33%ex |
| Ohio State Professional and Continuing Education | indirect | 21%ex |
| American Graphics Institute | direct | 17%ex |
| U.S. Chamber of Commerce Foundation | direct | 3%ex |
The idea text says $199 per seat; the check’s unit price is $331ex. The other inputs in the example: 1 purchase a monthex, a lifetime of 4 monthsex, a 60% marginex and a CAC of $60ex. The three formulas:
- LTV = price × purchases per month × lifetime in months × margin: 331 × 1 × 4 × 0.6 = $794.40ex
- LTV/CAC = LTV ÷ CAC: 794.4 ÷ 60 = 13.24ex
- Payback in months = CAC ÷ (price × purchases per month × margin): 60 ÷ 198.6 = 0.3ex
In our example, each dollar spent to win a customer returns $13.24 of margin, and the acquisition cost pays back in 0.3 months. The unit works; demand and free competition decide the idea. The top risk in the example: free public AI workshops, such as the Chamber’s and the SBA’s, may take the same Des Moines buyers before a paid seat sells (probability 3, impact 3)ex. Search demand is down 82%ex, and quality complaints already appear in the category (probability 2, impact 3)ex.
The next step is a cheap demand test or a fake door test before any hall is booked. Move the five inputs in the unit economics calculator to see where the unit breaks, size the buyers with a market analysis, or browse AI business ideas.
